Check catalog prices before printing: a practical checklist

A final price check starts with an approved reference and ends with a reviewed publication. Use this checklist whenever a catalog or price list is revised.

Before comparing: approve the reference

Prepare the PDF you intend to publish

Use the actual exported publication, not an earlier draft. Check that text can be selected and that product codes and prices appear on single horizontal rows. If different sections use different table layouts, split them and check each layout separately.

Kappsam is designed for searchable PDFs with regular tables. Images, outlined text, multi-line cells, and multiple tables per page are outside the supported workflow. Plan a manual check for unsupported content.

Compare the supported price tables

  1. Select the PDF and approved CSV in the checker.
  2. Map the product-code and price columns and select the correct currency and number format.
  3. Adjust the PDF column and table-body regions. Review them on every page, including the first and last rows.
  4. Run the comparison and inspect each exception against the source and the displayed PDF page.

Resolve every exception

A price difference needs an explanation: it may be an artwork error, an outdated reference, or inconsistent units. A “Needs review” result remains unresolved until a person checks it. A “Not in PDF” result may be a deliberate omission, but it can also indicate an incorrect region or unreadable row.

Check what a numeric comparison cannot decide

After corrections: export and check again

Make corrections in the original authoring file and export a fresh PDF. Re-run the comparison on that exact file: a previous report does not cover later edits. Retain the final PDF, approved reference, downloaded report, and a record of manually resolved exceptions in your own project folder.
